Registered Student Organization Reservation Requests

Registered Student Organizations (RSO) are required to initiate the facility reservation request with the office of Student Life and First Year Experience. Visit the CampusLab site to begin the registration process if you are requesting space on behalf of a student organization. If your RSO is considered a Club Sport by Campus Recreation, please contact the Assistant Director of Competitive Sports.

Facility Reservation Requests for One-Time or Recurring Events

A 2 week notice is preferred, and completion of the Facility Reservation Request Form is required for a request to be considered. All Campus Recreation facilities are reserved on a “first come, first served basis” after all of the needs of the primary users/groups have been met (Students/Patrons of the facility).

Once a Facility Reservation Request Form has been submitted, the Assistant Director of Memberships and Outreach will follow up via email or by phone to discuss the request.

If you are interested in scheduling a Birthday Bash, complete the Birthday Bash Reservation Form.

Other Items to Consider When Making Your Request:

When considering reservation requests, our primary goal is to provide facilities that are routinely available, accessible, safe, and clean for the entire university community. In order to support our Department Mission, we have established facility policies for each of the various activity spaces within the Student Recreation Center and satellite facilities. To begin, see our spaces available to reserve and review our policies. These policies should be reviewed and understood prior to requesting a reservation.

The confirmation of the reservation will depend on the following criteria:

  • Completion of Reservation Request Form
  • Date, time, and the space requested
  • Scope and nature of the event
  • Congruence with all state, university, and departmental regulations
  • Impact to existing programs and schedules
  • Satisfactory submission of requested contract and insurance (if required)
  • Availability of sufficient group representatives, chaperones, or advisors
  • Availability of Campus Recreation staff
  • Previous experience with group
  • Ability to pay all relevant charges pertaining to building rental, equipment rental, staffing, and damages (if applicable).

Areas Available for Reservation

When classes are in session, is likely that reservation requests will be denied if the request is during peak usage hours. Peak hours include Sunday 4 p.m. – 11:30 p.m., M-F 3 p.m. – 11:30 p.m. We strongly encourage reservation requests to be made for NON-Peak hours. The following spaces are available for reservations, and approval will be determined after a review of the request.
