This guide provides an overview of the approved generative AI platforms at Eastern Kentucky University, outlines the proper usage aligned with university policy, and offers some best practices for protecting institutional and personal data when using AI tools.

Approved Generative AI Platforms


The current approved Generative AI platforms for Eastern Kentucky University are Microsoft 365 Copilot Chat and Google Gemini.  When utilized with your EKU username and password, there are greater data protections in place than when being used with non-EKU credentials.  You must ensure you are always using your EKU credentials.

  • You should see a green shield in the top right corner.  If you do not see the green shield, do not enter information into the chat.  Verify you are logged in with the correct account.

  • Make sure to login with your EKU username and password.
  • In the chat box, you should see a shield before you start typing.  If you do not see the shield, do not enter information into the chat.  Verify you are logged in with the correct account.

AI Use Policy


EKU is currently working on an AI Use Policy.  When the policy is completed, this section will be updated to include a link to that policy.

Protection of EKU Data


Users must not enter any Personally Identifiable Information, other confidential information, or proprietary data into AI tools.  Remove data from files that is not needed or use some of the following methods of data handling to reduce risk of over exposure.

  • Anonymization
  • Replace names, emails, ID numbers, with pseudonyms.
  • John Smith -> Student1
  • EKU ID 99830000 -> ID_00430
  • Randomization
  • Replace names, emails, ID numbers, with pseudonyms.
  • Shuffle columns
  • Change dates or numbers, while preserving ranges.
  • Use random sampling to remove patterns

  • Bill Smith, GPA 3.5, DOB 8/7/2007
  • Result:  Student2, GPA 3.9, DOB 8/7/2007
  • Synthetic data creation
  • Have GenAI create a fake dataset based on real world distribution.
  • Example Prompt: Create 30 student profiles, each with a random first name, last name, major, GPA between 1.5 and 4.0.  Provide an excel file for review.

Unapproved Tools


The use of these tools is discouraged due to concerns relating to data privacy, security compliance, academic integrity, or other nefarious things.  The absence of a tool in this list does not make it approved.
